About the Job

Based in Juba and reporting to the Head of Programme, the Grants Management Officer supports the effective management of DRC’s grant portfolio by ensuring compliance with donor requirements, coordinating reporting and proposal development processes, and facilitating effective communication between programme, support, and coordination teams.

The role contributes to high-quality programme implementation through proactive grant management, accurate information tracking, timely donor deliverables, and strengthened coordination across departments.

Key Responsibilities

  • Support the management of the full grant cycle, from proposal development and project start-up through reporting, amendments, and close-out.
  • Coordinate the development, review, and timely submission of donor reports, ensuring quality and compliance with donor requirements.
  • Maintain grant tracking tools and monitoring systems to ensure timely follow-up of deliverables, deadlines, and compliance requirements.
  • Coordinate closely with MEAL teams to ensure contractual indicators, reporting requirements, and monitoring frameworks are accurately reflected and tracked throughout project implementation.
  • Support proposal development processes, including compiling inputs from programme and support departments, reviewing narrative contributions, and ensuring submissions meet required standards and deadlines.
  • Ensure grant files and documentation are complete, accurate, and properly archived in line with internal and donor requirements.
  • Monitor donor compliance requirements and support programme and support teams in understanding and applying relevant rules, regulations, and contractual obligations.
  • Facilitate communication and coordination between Programme, Finance, HR, Supply Chain, and senior management teams on grant-related matters.
  • Support the preparation and follow-up of project kick-off meetings, review meetings, and grant close-out processes.
  • Contribute to the development and improvement of grants management tools, templates, SOPs, and internal guidance documents.
  • Assist with donor mapping, funding opportunity tracking, and business development efforts as requested.
  • Support the analysis of programme performance, expenditure, and implementation progress to identify potential risks, gaps, or delays requiring management attention.
  • Contribute to institutional learning by documenting lessons learned, best practices, and key grants management insights.
  • Provide guidance and capacity-building support to programme and support staff on donor compliance requirements, grants management processes, and proposal development.

Requirements

Education

  • Bachelor’s degree in a relevant field, such as International Relations, Development Studies, Political Science, Business Administration, Project Management, or a related discipline.

Experience and Competencies

  • Minimum 2–3 years of relevant experience in grants management, donor reporting, proposal development, or programme support within a humanitarian or development organization.
  • Experience working with institutional donors, particularly UN donors such as OCHA, UNICEF, and other humanitarian funding mechanisms.
  • Experience coordinating with Programme, Finance, Supply Chain, HR, and MEAL teams.
  • Experience working in complex humanitarian contexts is an asset.
  • Good understanding of grants management and donor compliance requirements.
  • Strong report writing, editing, and communication skills.
  • Ability to coordinate multiple stakeholders and manage competing priorities and deadlines.
  • Strong organizational skills and attention to detail, with the ability to maintain accurate grant documentation and tracking systems.
  • Proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint.

Languages

  • Fluency in English, both written and spoken, is required.
  • Knowledge of Arabic or other local languages is an added advantage.
