Who are we?

The Grants Management Unit (GMU) is one of the units under the Standards and Operational Support Division at HQ which leads, manages, and supports the various granting modalities globally. The mandate of the GMU is to support HQ, HQ Hubs and country operations in efficient and effective grants management, and partnership contracting, ultimately aiming at timely and high-quality assistance to the field operations. While daily grants management is centered at the field/legal entity/country office (CO) level, the HQ GMU provides a layer of support, coordination and oversight ensuring internal and external compliance, timely installment management ensuring overall DRC cash flow and liquidity, and document and data management through DRC’s Enterprise Resource Planning System - Dynamics (DYN), enabling audit readiness and strategic analysis of DRC’s grants portfolio. 

Additionally, GMU manages most grants management tasks for the HQ managed priority institutional donors (ECHO, EU, Danida etc.) including coordination and submission of timely, compliant and quality assured proposals and reports, grants opening and grants closure, and providing advice to country operations on donor compliance requirements.

GMU holds the accountability for global grants related systems and processes, standards and tools in addition to global processes and frameworks such as installment management and capacity assessments, CHS audits etc.

The GMU team comprises of Grants Management Specialists (GMSs) covering country portfolios and HQ managed projects, a Senior Grants Advisor, a partnership and contracts advisor and a Student Assistant managed by the Head of the Grants Management Unit.

 

About the job

The Grants Management Specialist (GMS) will support the HQ Hubs, Country Offices, and HQ in grants management by providing technical support, expert advice, capacity building on the Grants Card-Dynamics, compliance and quality checks for HQ managed grants. The GMS is further accountable for updating and managing data records in DYN. Throughout the project cycle on a HQ managed grant, the GMS works closely with relevant grants, program and finance colleagues in both HQ and the CO on the monthly Budget Follow-Up (BFU) meetings and general financial aspects of grant management such as milestone and payment (instalment) settlement.

The GMS has a control and oversight function for all CO grants in their portfolio countries through DYN and BI tools and provides ad hoc support to country-based grants colleagues. The GMS further ensures that relevant colleagues across their assigned portfolios are empowered to understand and implement grants management processes in DYN and global DRC policies and procedures pursuant to grants.

Key responsibilities of the role include:

 

  • Quality check of submission of proposals and reports via donor compliance for the HQ managed donors to the extent which necessary documents are received within agreed upon timeline and in line with contractual obligations and donor compliance requirements.
  • Management of instalments by ensuring payment requests are submitted in a timely manner matching the instalment schedule in DYN and following-up/cleaning-up on unallocated or unsettled instalments.
  • In close coordination with COs, updating grants information, including uploading of relevant documentation in Dynamics for HQ managed grants.
  • Reaching out to donor representatives when needed and maintaining professional communication.
  • Provide daily support to solve incoming grants related issues/inquiries from COs facilitating communication between them and the relevant stakeholders.


About you

To be successful in this role we expect you to be experienced within grants management with field experience from different country offices in a humanitarian/development organization.

All employees should master DRC's core competencies: Communicating, Taking the lead, Collaborating, Striving for excellence and Demonstrating integrity.

 

Moreover, we also expect the following:

Required

  • At least 5 years of field experience  in a humanitarian/development organization - preferably in grants or program position.
  • At least three of those years should be in a country or regional office in a humanitarian/development organization (either as a national staff or as an expatriate) – preferably in a grants or program position.
  • Sound understanding of Grants Management and the grants management phases.
  • Willingness and ability to travel to DRC COs and HQ Hubs.
  • Excellent communication, coordination and collaboration skills.
  • Master’s degree within relevant field of study.
  • Proficiency in written and oral English.
  • For the permanent role, proficiency in written and oral French is a requirement.

 

Desirable

  • Communication skills in Danish, Spanish or Arabic is an advantage

 

We offer

Contract length: We are looking for three Grants Management Specialists. One permanent and two temporary positions to cover during maternity leaves. The temporary positions expected to start end of Q2/early Q3 and the contract length is expected to be 9 months. All positions are full-time 37 hours per week.

Workplace: Lyngbyvej 100, 2100 Copenhagen Ø, just by Ryparken station

Start date: 1 May 2026 or as soon as possible thereafter

The two temporary positions are temporary as they are parental covers.

Salary and conditions will be in accordance with the agreement between DRC and AC. The position is at “fuldmægtig” level. This is a national position for which Danish local terms and conditions apply. We encourage all nationalities to apply for the position, and if you do not have the existing right to work in Denmark, DRC will apply and coordinate the work permit process.
